Introduction

This document contains our Privacy Policy i.e. the principles we follow in personal data processing processes This document also contains the contents of the information obligations, which, according to the law, must be presented to the persons the data relate to (data subjects), namely to you. Before we move on to the details, we would like to emphasize some of the key personal data protection principles. They are important for us because we know that they are also important for you.

The Privacy Policy has four goals:

Explain how we use the information that you deliver to us, in order to better adjust our products and services to your expectations;

Ensure that all the information about the process of processing your data has been presented in a clear and transparent way;

Ensure that your personal data we are processing are safe from the hazards that appear in their processing,

Ensure transparency in contacts with us, so that your right to privacy is always guaranteed.

All the information that we collect is related, indirectly or directly, to the operations we conduct i.e. operations of creating a complex, customized programming service with regard to production maintenance with simultaneous use of the most advanced technological solutions. We are your personal data controller, meaning that we decide about the purposes and the means of processing them. In practice it is important to remember that Eurotronic Sp. z o.o. having its registered office at Al. Jerozolimskie 181 b, 02-222 Warsaw is the entity responsible for your personal data. Generally, any personal data we process are divided into the processes where they are being processed due to the main goal of this processing and the category of the data subjects. There will be subsequently:

Recruitment

Employee candidates’ personal data are processed in order to efficiently conduct the employee candidate selection process and finally choose the most appropriate person for the particular post. In this process your personal data are processed on the basis of your consent. It must be pointed out that the consent to personal data processing may be expressed in order to participate in a particular recruitment process, but also for the needs of other future recruitment processes, if any. We are not closed for any experts who want to be successful together with us. We retain your application documents in the process for the period of 2 years from the moment of finishing the recruitment process. After this period, your data (unless we establish cooperation) will be completely removed from our resources. Any provision of personal data is completely voluntary, but some information, particularly about your professional experience, are crucial with regard to the purpose we want to achieve. Your personal data in this process can be entrusted to external entities participating in the recruitment process, but we reserve that these entities are under our continuous supervision and ensure at least the same personal data security level as we do.

Marketing process

Clients’ and potential clients’ (prospects’) personal data are processed in order to ensure the possibility to present an offer of our own products and services, answer any requests for quotation and in order to conduct active marketing activities in the selected communication channels or publish an image of participants in industry events. In this process, your personal data are processed on the basis of your consent (marketing in the selected communication channels) or for the purpose of concluding an agreement in the case of requests for quotation forwarded to the company as well as in order to perform the agreement, by signing up to our Newsletter. In addition, your data are processed on the basis of the so-called personal data controller’s legitimate goal when we recommend our company’s services in personal contacts or we create marketing statistics and reports. Any provision of personal data in this process is voluntary, but any failure to provide them will prevent us from giving an answer to a request for quotation or presenting our offer in a way adapted to your individual needs. In the process, your personal data are retained for 3 years after your consent is dismissed, provided that you have earlier expressed it. To the remaining extent, also 3 years from the end of providing the information bulletin service i.e. from the last active operation on the personal data or submission of your request for quotation. After this period, your data (unless we establish cooperation) will be completely removed from our company’s resources. Your personal data in this process can be entrusted to external entities participating in the marketing process (e.g. suppliers of e-mail message services), but we reserve that these entities remain under our company’s permanent supervision and ensure at least the same personal data security level as we do.

Provision of services

Any personal data, in particular of sole proprietorships, civil partnerships as well as representatives of legal persons, are processed in order to perform a services agreement. Your personal data are processed in this process in order to fulfill our obligations resulting from the legal regulations (mainly tax obligations) and for the so-called legitimate purpose, being any reporting and statistical actions. In the process, we retain your personal data for the period of 6 years from archiving them, namely e.g. from performing the last activity in connection with issuing an accounting document to you. The provision of personal data is voluntary, but any failure to provide them will prevent us from performing an agreement or issuing an accounting document. Your personal data in this process can be entrusted to external entities participating in the process, but we reserve that these entities are under our continuous supervision and ensure at least the same personal data security level as we do.

Business partners and suppliers

The personal data of representatives of our business partners and suppliers i.e. of sole proprietorships, civil partnerships as well as representatives of legal persons, are processed in order to perform the contractual obligations. In this process, your personal data are processed under an agreement (even if it has not been recorded in writing), in order to fulfill our obligations resulting from the legal regulations (mainly tax obligations) and for the so-called legitimate purpose, being performance of an agreement with a business partner (most frequently your employer). In the process, we retain your personal data for the period of 6 years from archiving them, namely from performing the last activity in connection with performance of an agreement with a business partner. The provision of personal data is voluntary, but any failure to provide them will prevent us from performing an agreement with a business partner. Your data can be made available by a business partner (e.g. your employer). Your personal data in this process can be entrusted to external entities participating in the process, but we reserve that these entities are under our continuous supervision and ensure at least the same personal data security level as we do.

Your rights

We would like to emphasize that we guarantee the following rights to each person whose data we process:

the right to access the content of the data – you can apply to us for describing the specific processing of your personal data and access any personal data about you being collected. We reserve that excessive the use of this right will hinder our work, so please use it with caution,

the right to amend the data – we make all efforts to always process as up-to-date data about you as possible, however, if it turns out that the data we process are incorrect, you can always apply to us for correcting them,

the right to remove the data – if it turns out that you do not want us to continue to process your personal data anymore, you can always apply to us for removing them. We reserve that the right cannot be realized in each case, as in some cases we have to retain some personal data due to the binding legal regulations,

the right to restrict processing – if you decide that the data we process should not be removed for some reasons after the aforementioned periods of time, you can apply to us to retain them further,

the right to transfer the data – if it turns out that we process your personal data in IT systems, you can apply to us for transferring them to another service provider. We still reserve that this right applies only to the data you have delivered to us yourselves,

the right to object – you can always apply to us with an objection against the processing of specific personal data for a specific purpose. In each such a case the objection will be considered and your comments considered in the processes of processing your data for the future,

the right to withdraw your consent – at any time you can withdraw your consent to personal data processing expressed to us, but all actions that we have performed on your data prior to its withdrawal shall remain valid,

the right of file a complaint – if you consider that we are violating your right to privacy you can always file a complaint to the President of the Personal Data Protection Office, but we encourage you to jointly examine your concerns before you make such a decision.
